Retain property and owner identifiers, management authority, work orders, approved estimates, completion evidence, vendor invoices and allocation records. Preserve changes in ownership or management responsibility during the period. Separate the vendor's invoice from the subsequent owner charge and identify which approval governs each.
Checks that resolve this question
Match each charge to the property, authorized work and acceptance record. Test whether shared work has an approved allocation basis and whether a change in owner created duplicate funding entries. Check that credits follow the original property and owner allocation. An invoice may be valid while the owner recharge is wrong, so keep those conclusions distinct.
The finance and operations decision
Produce a property-to-owner exception schedule for the manager's finance team. Operations resolves work completion, the authorized property representative resolves scope and finance corrects supported funding or allocation differences. Communicate unresolved approvals before passing costs onward and retain the corrected owner statement separately from any vendor settlement.
