Records and measurement boundaries
Retain the signed escalation clause, baseline price, specified index publication, adjustment notices and affected orders and invoices. Record the index series identifier, release date and any revised values. Separate the supplier's calculation from the underlying published inputs so a spreadsheet formula cannot substitute for evidence of the contract rule.
Checks that resolve this question
Recompute the adjustment using the documented base period, lag, weighting and any applicable cap or floor. Check whether the clause applies to all price components or only a named input. Compare the permitted effective date with delivery or invoice dates as the agreement specifies. Preserve exceptions where amendments changed the formula.
The finance and operations decision
Procurement should provide an input-to-price calculation and an approved effective-date schedule. Finance can use that schedule to identify supported invoice differences; the supplier should explain disputed inputs or timing. A corrected future price and a historical credit are separate outcomes and should have separate confirmation records.
