Records and measurement boundaries
Collect original invoices and payment evidence, service periods, assignment or novation documents, replacement orders and supplier settlement correspondence. Preserve the prepayment balance calculation and identify which legal entity owns the contract at each step. Request explicit treatment of remaining value rather than inferring it from the new tenant start date.
Checks that resolve this question
Build a service-period bridge from the old entitlement to the replacement. Check whether overlap supports migration, represents separate scope or was expressly offset. Trace any transferred credit to the new agreement and its invoice application. Separate commercial entitlement to a credit from accounting treatment of an existing prepaid balance.
The finance and operations decision
Finance and procurement should approve a transfer settlement schedule that records consumed value, agreed credits and unresolved amounts without adding them together as savings. Ask the supplier to resolve unsupported overlap with the assignment evidence. Keep the final credit application and the entity receiving it alongside the approved transfer terms.
Limits of the conclusion
An acquisition does not automatically create refund rights. The review does not supply legal or accounting conclusions, and a proposed credit remains unconfirmed until supported and applied.
Scope the evidence review
Use the AuditRes Technology Spend workspace to discuss this review scope. Check current plans and the shared platform, review security and evidence handling, and contact AuditRes to establish the customer sources and processor validation needed for production processing.
AuditRes Technology Spend: Available for onboarding. Public previews use synthetic demonstration data; production processing remains gated until applicable customer sources and authoritative processors are connected and validated.
