Retain vehicle acquisition and disposal dates, device identifiers, installation or removal records, subscription terms, service notices and invoices. Request the mapping history rather than only the current fleet register. Separate leased equipment returns from subscription cancellation and preserve supplier acknowledgment of each event.
Checks that resolve this question
Match billed subscriptions to the device and the asset effective during each period. Investigate an apparent orphan for reassignment or spare-device use. Apply the agreed cancellation timing and minimum term before estimating a difference. Check whether a replacement created a second subscription or legitimately continued the original service.
The finance and operations decision
Create a fleet subscription register with a reason for each unmatched item and an assigned owner. Operations confirms the equipment history; procurement confirms termination rights; finance compares the accepted cancellation with the next bill. Only supported post-effective-date charges should enter a supplier dispute, and subsequent credits need their own tracking.
Limits of the conclusion
No vehicle telemetry connector is implied. An offline device is not necessarily a cancelled subscription, and operational downtime does not alone prove an entitlement to a refund.
